Is Zapier right for you?
Zapier’s moat is breadth. Whatever obscure tool your business depends on is probably already connected, and the builder is plain enough for the person with the problem to fix it themselves, which is the whole game. An automation that ships this afternoon beats a better one that waits three weeks for someone technical.
That accessibility is worth real money in a small team. The first automations are almost always the highest-leverage ones (form to CRM, purchase to fulfilment, enquiry to Slack), and none of them should need a developer.
The catch is the meter. Zapier charges by the task, so every automation you add and every customer you win grows the bill, punishing the very success you built it for. Multi-step Zaps burn tasks faster than people expect, and the next tier arrives sooner than you’d like. Start here because starting matters, but watch the invoice: the month it stops making sense is the month n8n starts to.

Why not just use each platform's own integrations?
Because a surprising number of them don't have any. Plenty of email and ecommerce tools still ship without meaningful integrations or a usable API, and Zapier is the go-between that keeps those systems talking. If everything in your stack integrates natively, use that. In the real world, something always doesn't.
Is the AI copilot actually useful?
It's the biggest change to this tool in years. Describe what you want connected and why, and it builds the automation; when something isn't firing, it helps you troubleshoot, historically the worst part of the job. Asking instead of configuring lowers the bar for who on your team can build one.
When does Zapier get too expensive?
When you're duct-taping the whole business together with it. Per-task pricing scales with your success, so the bill grows just as the automations become load-bearing. That's when to ask whether your systems could talk natively through your own webhooks, which costs a build and then nothing. Zapier is excellent for getting there and an expensive place to stay forever.
Zapier or n8n?
Zapier when you need something working by lunchtime and nobody technical to hand an API doc to. n8n when the automations run heavy, the data is sensitive, or you'd rather own the thing than rent it. It's one decision from opposite ends, speed and accessibility against control and cost at volume, and most businesses should start with Zapier and reconsider once the bill or the sensitivity says so.
